A Brief OverviewThe Anatomic Pathology Office Coordinator II works in the Division of Anatomic Pathology and is responsible for assisting in the daily operations in the Anatomic Pathology service such as ensuring information for reports are entered and completed, obtaining materials/reports from outside labs and hospitals for consult cases, pulling cases for conferences and teaching, and making sure slides are properly filed.
Administrative efforts are another major component of this job and include Ordering supplies, scanning/faxing documents putting procedures on internal shared calendar as the patients are schedules, tracking cases sent to other institutions, Feilding phone calls both for internal and external clients.
The Anatomic Pathology Coordinator works with 15 Pathologists, including several Medical Directors and reports to the anatomic Pathology supervisor.
The Program Coordinator provides strategic and operational based support for day- to-day activities of Anatomic Pathologists and Medical Directors.
The coordinator must maintain the ability to complete multiple tasks simultaneously and work under pressure while maintaining confidentiality and a professional demeanor.
The position requires the ability to troubleshoot and resolve issues as they arise by utilizing available resources.
Epic Beaker knowledge preferred.
Knowledge of computer programs such as Word, power point, and Excel is preferred.
What you will do:
Perform advanced administrative tasks including triage calls, coordination and scheduling.
Assist with complex patient services including scheduling appointments, check outs, sending documentation and contacting appropriate stakeholders.
Respond to complex inquiries and assist stakeholders according to procedures.
Manage records including charts, files, and correspondence according to procedures.
Assist with the maintenance of systems, procedures, and methods for record keeping and reporting.
Schedule and provide administrative support for meetings, interviews, committees, conferences and calendars.
Prepare presentations, letters, reports, memoranda, and related materials.
Oversee office supplies for the department.
Assist with new hire process and employee support including timekeeping.
Other duties and administrative support projects as required.
Education QualificationsHigh School Diploma / GED RequiredExperience QualificationsAt least three (3) years of progressively responsible administrative support in an academic, scientific or office setting PreferredSkills and Abilities Basic knowledge of medical terminology and protocols Basic knowledge of HIPAA regulations Intermediate proficiency with electronic medical record software (EPIC) Intermediate proficiency with word processing software (Microsoft Word) Intermediate proficiency with spreadsheet software (Microsoft Excel) Basic proficiency with presentation software (Microsoft PowerPoint) Excellent verbal and written communications skills Excellent interpersonal skills Excellent organizational skills Strong time management skills Solid conflict resolution skills Ability to maintain confidentiality and professionalism Ability to work independently with minimal supervision Ability to work with and relate to people at all levels To carry out its mission, CHOP is committed to supporting the health of our patients, families, workforce, and global community.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
