Summary

Spark Therapeutics is looking for a motivated, high-energy individual to contribute to the success of the transformation of our growing finance team.
The Payroll and Equity Administration Lead will manage our payroll, travel and entertainment reimbursement (T&E), and equity administration functions.
She/he will be responsible for preparing and delivering payroll for 600
employees.

This role will manage the payroll team to ensure accurate and timely preparation, documentation, and disbursement of payroll payments and payroll taxes.

Responsibilities

Key duties will include:

  • Partnering with individuals at various levels within HR, Tax, Accounting, and at Roche to ensure communications channels are open and that roles and responsibilities are clearly defined.
  • Managing a team of multiple payroll and T&E coordinators to ensure that payroll is processed completely and accurately through ADP Workforce Now on a bi-weekly basis.
  • Ensuring compliance with federal, state, and local legal requirements and advising management on needed actions.
  • Building trusting relationships with key service providers (i.
    e.
    Fidelity, ADP, etc) to ensure Spark is getting the appropriate results to keep the function running efficiently and effectively.
  • Transforming the current payroll function to streamline processes and provide greater efficiencies, which will lead to effective results for each employee of Spark, as well as the the payroll organization.
  • Responsible for oversight of the processing of the biweekly payroll using ADP Workforce Now.
  • Manage the audits of employee records to ensure accuracy of payroll, deductions, 401(k), and tax-related issues based on employee events, such as new hires and changes.
  • Lead the team to ensure records are provided timely and accurately to third party vendors for all benefit programs (i.
    e.
    401k contributions, FSAs, HSAs, Medical Insurance, Commuter Benefits Program, etc).
  • Reconcile benefits invoices to actual employee deductions and company budget.
  • Ensure federal, state and local income and unemployment tax compliance with ADP and all authoritative bodies.
    This includes updating SUI tax rates, opening new tax jurisdictions when necessary and closing jurisdictions no longer in use.
  • Ensure the T&E system is functioning appropriately, reimbursements are being made timely, and that policies and guidelines within the system are regularly being reviewed.
  • Responsible for performing routine audits of payroll prior to disbursement.
  • Ensure year-end process is completed and W-2s are issued timely and accurately.
  • Solve adhoc issues in a timely manner as they arise.
  • Maintain payroll guidelines by writing and updating policies and procedures
  • Partner with HR and Roche on a regular basis to ensure employee master and transactional data (i.
    e.
    names, addresses, grants, exercises, dispositions, transfers, releases, etc) within EquatePlus is complete and accurate.
  • On a quarterly basis, partner with HR, Roche, and Tax to lead the effort to ensure withholdings on vestings are appropriate.
  • Reconcile transactions, termination dates, tax withholdings, and other items as required.
  • Responsible for handling the internal operation of the 401(k) plan ensuring administration complies with plan provisions and legal compliance
  • Maintain detailed procedures and plan documentation, compliance work, and related projects.
  • Work closely with the 401(k) service provider(s) to service the plan administration needs.
  • Answer employee questions and resolves issues regarding the plan.
  • Audit weekly payroll to ensure appropriate 401(k) deductions are deducted from employee paychecks, including employer match, employee loans and adjustments.
    Process the 401(k)/Retirement inbound and outbound interfaces; ensuring the data is accurate and working the error/exception reports.
    Reconcile error/exception reports from the retirement plans record
    keeper.
    Audit timely submission of 401(k) employee contributions, employer matching contributions and loan re-payments.
  • Audit the benefit mapping document for the various benefit groups to ensure accurate 401(k) assignment.
  • Identify and correct payroll/human errors that affect the retirement plans.
  • Audit monthly loan delinquency report.
  • Coordinate all internal and external audits (e.
    g.
    DOL, IRS, 401(k) annual audits).
    Coordinate 5500 annual filing and audit; including preparing all necessary schedules and responding to auditor requests for information.
    Co-ordinate the mid-year and year end NDT testing.
  • Create various reports combining data from both the payroll systems and the record keeper system.
    Research issues using the ADP payroll system.

Education and Experience Requirements

  • Associates Degree or higher preferred.
  • 10 years of experience managing payroll, at least 3 years of experience with ADP Workforce Now
  • 2 years of experience in people management 2 years of experience in equity administration.
  • Proven track record for continuous process improvement.
  • Demonstrated success building long-lasting partnerships across HR, Finance, and Parent Organization.
