The Administrative Assistant I operates under the guidance and supervision of the manager(s) supported. The Administrative Assistance I provides a wide range of administrative support for the manager(s) supported by efficiently and effectively executing department/operational procedures and processes to help meet the business objectives.
Ensures all incoming inquiries are handled in a timely manner, from both outside customers and team members.
Receives and responds to routine correspondence following established procedures not requiring management review.
Coordinates, arranges, and participates in department functions such as training, conference calls and departmental meetings.
Manages calendars and deadlines; arrange travel, and schedule meetings and appointments.
Researches topics, collects data, compiles and analyzes basic information for inclusion in reports or presentation materials - prepares charts, graphs, or tables as needed.
Prepares standard and special reports following general directions in a timely manner.
Analyzes, tracks and reconciles individual and department expenses and prepare and submit expenses for those in span of support.
Drafts, modifies and distributes business correspondence as needed.
Organizes and prioritizes large volumes of information and/or calls.
Performs administrative and office support activities to include but not limited to filing, data entry, ordering supplies, and receiving telephone calls.
Answers routine and non-routine questions
May act of first point of contact for the department supported, which may include receiving and directing visitors.
May assist or serve as HR support performing functions including payroll, benefits and other personnel functions.
Provides administrative support for other departments as required.
Performs other duties as assigned.
Minimum (Required): _(must be met in order to perform the job at the required level)_
High school diploma or equivalent
Knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment
Excellent interpersonal skills and advanced verbal and written communication skills and listening skills
Excellent organization and planning skills
Detail-oriented
Ability to multi-task and show initiative
Ability to be flexible and set and adjust priorities appropriately
Ability to exercise efficiency and independent judgment and employ basic reasoning skills
Strong computer skills, Microsoft Word, Excel, PowerPoint, & Outlook and Presentation Software
Excellent working knowledge of Excel including, formatting, formulas and reporting
Demonstrate high level of integrity and professionalism to handle sensitive and confidential information
Customer service orientation
Must be able to read, write, speak and understand the English language
Preferred: _(if above and beyond the minimum required)_
Experience as an administrative assistance supporting multiple managers
Experience managing schedules, completing presentations and documents, booking travel and using expense account software
Physical Demands: May sit, stand, stoop, bend and walk intermittently during the day. May sit or stand seven (7) to ten (10) hours per day. May be necessary to work extended hours as needed. Finger dexterity to operate office equipment required. May need to lift up to twenty-five (25) pounds on occasion. Visual acuity to see and read fine prints. Specific vision abilities required by this role include close vision, color vision and the ability to adjust focus. Must be able to hear normal voice sounds. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this role.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
